For solo practitioners and small firms

Case preparation that works entirely by email.

Give a matter its own email address. Send it the correspondence, attachments and documents you already have — then ask, in ordinary English, for the work you need doing. It comes back to your inbox.

There is no app to install, no website to log into and no password to remember.

Available exclusively through an invite-only private beta.

The whole idea

Nothing new to learn.

Every practice management tool asks you to change how you work. This one asks you to send an email.

You already know how

If you can forward an email, you can use MatterCase. It works from Outlook, Gmail, your phone, your laptop, your assistant's desk — anywhere you already read mail.

Nothing to migrate

No import project, no data cleanse, no onboarding week. You start with the next email you were going to send anyway, and the file assembles as you go.

It fits around your system

Keep your existing case management, your billing software and your filing conventions. MatterCase runs alongside them — copy it in on what matters and it does the rest.

How it works

Three steps, and you have already done two of them.

1

Each matter gets an address

We set up a dedicated MatterCase address for the matter. Only people you name are allowed to send to it.

2

Email it like a colleague

Forward correspondence as it arrives. Attach statements, contracts, invoices, photographs, disclosure. Or simply write and ask for what you need, in plain English.

3

The work comes back

A considered reply comes back in the same thread — with the documents you asked for attached, ready to open, edit and use.

Statements for the account schedule

Good afternoon,

Six bank statements came in this morning. Please file them and update the schedule of accounts with the balance at each statement date. Flag each transfer over 5,000 that is not already listed. Also tell me which months are still missing.

Thank you,
James

What it takes off your desk

The necessary work that never bills well.

The jobs that eat an afternoon and have to be right — handled, so your time goes to the part only you can do.

  • Filing and indexingEvery message and attachment goes into the right matter, named, dated and listed. Nothing sits in an inbox waiting to be sorted.
  • ChronologiesA dated sequence of events built from the documents on the file, with each entry pointing back to its source.
  • Summaries of long documentsA 200-page bundle reduced to what it actually says, with the passages that matter quoted rather than paraphrased.
  • Bundle and document indexesLists of what is on the file, in the order you want them, ready to paste into a bundle index or a disclosure list.
  • First draftsRoutine letters, schedules, attendance notes and tables — drafted for you to review, correct and make your own.
  • Finding thingsAsk where something is and get a straight answer with the document, instead of opening folders for twenty minutes.
  • Keeping the record straightWhat arrived, when it arrived and who sent it, preserved exactly as received. Useful long after anyone remembers the detail.
  • Reading what just landedForward a new letter and get back what changed, what it asks for and what dates it states — before the file reaches your desk.
  • Schedules of assets and accountsStatements in, a schedule out, with every figure traceable to the page it came from.
  • Exhibit and disclosure bundlesWhat is on the file, in the order you want it, numbered and ready to index.

Who it is for

Two people usually feel the relief first.

The lawyer with too many files open

You are carrying more matters than the day has hours for. The law is why they came to you. The assembling is what keeps you at the desk until eight.

MatterCase absorbs the preparation so you arrive at each file already briefed — and spend your hours on strategy, advice and the client in front of you.

The client with a shoebox

Your client has three years of emails, statements, screenshots and letters, and no clear idea what is in it. Today that arrives on your desk unsorted, and someone has to bill for sorting it.

With a matter open, they send it to one address as they find it — and it reaches you filed, dated and indexed. The tidying happens before the meter starts.

How it is paid for

Two ways a matter exists.

Sponsored by the client.

Your client asks, you approve, they pay. Useful where the papers are theirs and the sorting is theirs to do.

Held by the firm.

You open the matter, you approve the addresses, you are the customer. No client is involved in the arrangement and none needs to be.

Request a firm invitation.

The matter behaves identically either way, and one can become the other without anything moving.

Safeguards

Built for people who are careful with files.

Case papers are not ordinary documents. The design assumes that, and starts from what must never go wrong.

  • Originals are never altered.Every email arrives and is stored exactly as sent, untouched. Everything else is derived from that record and can be rebuilt from it.
  • The record is fixed. The file is not permanent.Nothing is quietly removed from an open matter: what arrived, arrived, and the log shows it. When a matter closes, you say what happens to it — a complete copy to you and secure destruction, or archive for a period you set. We do not keep a client's papers because it suits us to.
  • One matter at a time.Work on a matter can only see that matter's own file. There is no shared pool of documents and no way for one client's papers to surface in another's.
  • Only named addresses may write in.A matter accepts mail only from the addresses your lawyer has approved. Anything unapproved or unexpected is quarantined and never enters the file.
  • It never sends the first email.MatterCase does not contact the other side, the court, or anyone else. It answers the approved address that wrote to it, and nothing leaves without being recorded first. It has no address book, no access to your contacts, and no route to anyone not on the matter's approved list.
  • Your file stays ordinary.A matter is a plain folder of emails, PDFs and documents — not a proprietary database. Ask for it and you get it, in a form anything can open.
  • Every action is timestamped. What arrived, what was asked, what was produced and what was sent. Ask for the log and you get it.

Confidentiality and conflicts

Confidentiality

MatterCase is designed to be used the way a firm uses any outside supplier — a copy bureau, a transcription service, an outsourced paralegal. It works on instructions, on one matter, and takes no independent step.

Material on a matter is kept confidential, is not sold, and is not used to train models. It is shared only with the approved people and the companies needed to carry the email, host the file and prepare the work. If the law compels disclosure, we tell you first unless we are forbidden from doing so.

Whether that satisfies your own obligations is your judgment, not ours. Ask and we will set our arrangements out in writing so you can make it.

Conflicts remain yours. Matters are sealed from one another, including where we hold a matter for someone on the other side of yours. We do not run conflict checks and we will not tell you who else uses the service. That is your firm's job here exactly as it is with any supplier.

Plainly stated

What MatterCase is not.

We would rather you knew this from the homepage than found it out later.

  • We are not a law firm. MatterCase does not practice law, does not give legal advice, and no lawyer-client relationship arises from using it. Nothing it produces is advice on your case.
  • It prepares; you decide. Everything that comes back is working material designed for qualified review. Professional judgment stays exactly where it belongs.
  • It stays grounded in the matter. Replies and documents are prepared from the authorized matter record, with source files kept available for review.
  • It is not a filing service or a diary. It does not diarize, does not calculate deadlines and does not warn you about them. It will tell you what a letter says. The diary is yours. It does not file at court, serve documents or take any step in proceedings.
  • It is invite-only. Private-beta access is limited to approved participants, and every matter remains inactive until its invitation and lawyer-approval steps are complete.

The boundary

It is not the lawyer, and it is not trying to be.

Everything it produces is unfinished on purpose: a draft to correct, a chronology to check, an index to approve. It has no view on your case and offers your client none. Asked a legal question by your client, it gives the same answer every time — ask your lawyer.

What it takes is the work that never billed well anyway: the sorting, the indexing, the twenty minutes opening folders. What it leaves is the part they are paying you for.

Questions

The ones we are asked most.

Do I need to install anything or learn new software?

No. There is no application, no browser login and no dashboard. If your email works, MatterCase works. That is deliberate: the surest way for a tool to go unused in a busy practice is to require a new habit.

What if I already use a case management system?

Keep it. MatterCase is not trying to replace your system of record — it sits alongside and does the preparation work. Copy the matter address into your correspondence and both files stay current.

Where do my documents actually live?

On a server we run and control, arranged as ordinary folders of emails and files — one folder per matter. You can ask for a complete copy at any time and receive something any computer can open. There is no proprietary format holding your papers hostage.

Who can read my matter?

Only the people approved for that matter. A matter accepts mail only from named addresses, and the part of the system that prepares work for one matter is given that matter's files and nothing else. Private-beta access is reviewed individually and each activation requires lawyer approval.

Does it use AI, and does my file train it?

Yes, it uses a large language model — that is how it reads a bundle and drafts a chronology. Your matter is supplied to the model only to answer your request. We do not sell your data, and we do not use client material to train models. If that matters to your professional obligations, ask us and we will put the specifics in writing.

How quickly does it reply?

Usually within minutes. The reply takes as long as the reading does — longer for a heavy bundle than for a two-page letter.

What does it cost?

A matter may be sponsored by the client or held by the firm. Private-beta access is invitation-only. The arrangement and price are stated plainly before activation.

I am not the lawyer — I am the one in the case. Can I use it?

Yes. Both lawyers and clients can request an invitation. Invited participants start with the same activation page and receive role-specific next steps. MatterCase supports document organization and preparation but does not provide legal advice.

Start with one matter.

Tell us a little about your practice, or about the case you are dealing with. A client may request a sponsored matter, and a lawyer may request a firm-held matter. Private-beta access is invitation-only, and every request is reviewed before activation.
